Most PG and hostel operators run on three tools: a rent register, a WhatsApp group and memory. That works with one building and twenty beds. With three buildings, it turns into missed rent, deposits nobody can reconcile, and a phone that never stops ringing. This guide covers what PG and hostel management software has to do, how off-the-shelf and custom options compare, and what changes for co-living and staff-accommodation operators in the UAE.
What the Software Has to Do
Whether you run a paying-guest house, a student hostel or a co-living building, the daily work is the same five jobs:
Beds and occupancy
Which bed is free, booked, on notice or overdue, across every building
Rent and deposits
Monthly dues, part payments, late fees and deposit refunds, with receipts
Tenant records
ID documents, emergency contacts, agreements and move-in/move-out dates
Requests and complaints
Maintenance, food and housekeeping tickets that someone actually closes
The fifth job is reporting: occupancy by building, rent collected against rent due, and which tenants are behind. If your software cannot answer "how much rent is outstanding today, and from whom?" in one screen, it is a register with a login.
One System, Three Views
The operators who get the most from software give each person their own view of the same data:
- An operator console on the web for the owner and managers: buildings, beds, tenants, money and reports.
- A tenant app where residents see their dues, pay rent, download receipts and raise requests, so the reminders and receipts stop going through your personal WhatsApp.
- A staff or partner app for the people on the ground, so wardens, caretakers or property partners see only what they need.
This is how we built PG Platform, our own software for paying-guest operators: an operator console on the web, a partner app and a tenant app, with light and dark themes. You can see screens from it on our work page.
Must-Have Features Checklist
| Feature | Why it matters |
|---|---|
| Multi-property support | Your second building should not need a second system |
| Online rent collection with receipts | UPI or card payments that mark the bed as paid automatically |
| Deposit ledger | Deductions and refunds recorded per tenant, so move-outs are not arguments |
| Document storage | ID proofs and agreements kept securely, not in a phone gallery |
| Notice and vacancy tracking | Know which beds free up next month before you advertise |
| Food or mess plans | Meal plans and extra charges billed with rent |
| Utility charges | Electricity or AC usage split by room where you bill it separately |
| Role-based access | Managers see their building; only the owner sees everything |
Off-the-Shelf or Custom?
Ready-made PG and hostel apps are the quickest start, usually priced per bed or per property each month. They work well when your operation matches the way the app was designed. A custom system makes sense when it does not: several property types, food and laundry billing, partners who own some buildings, or your own branding on the tenant app.
Compare them over three years, not three months. A per-bed subscription that looks small at 40 beds can be the biggest software bill you have at 400. Our custom software cost guide walks through that build-versus-subscribe maths with real numbers.
Whatever you choose, own the data. Tenant records, payment history and documents must be exportable. If you change software in two years, you should be able to take every tenant and every receipt with you.
For Student Hostels
College and school hostels add a few requirements of their own: room allocation by course or year, parent contact details and visibility of fees, in-and-out records, mess attendance, and leave approvals. Most of these are workflow rules on top of the same bed, rent and records core, so they belong in the specification from the start rather than as add-ons later.
Co-Living and Staff Accommodation in the UAE
The same problems exist in Dubai, Sharjah and Abu Dhabi at a larger scale: co-living buildings, shared accommodation and company staff housing, often with hundreds of beds across several locations. The differences from an Indian PG are mostly about money and language:
- AED billing and card payments, with VAT handled where the operator is registered.
- Arabic and English for staff and residents, with right-to-left layout done properly.
- Company billing: for staff accommodation, the payer is often an employer, not the resident, so invoices go to companies while the beds are tracked per person.
- Keeping to the regulations: tenancy and accommodation rules in the UAE are set by each emirate's authorities, and your records should make compliance easy to show.
We work with UAE clients remotely from Chennai and invoice in AED; details are on our UAE page.
How to Get Started
Start with your rent register, whether it lives in a notebook or a spreadsheet. List your buildings and beds, how you collect rent today, and the three questions you wish you could answer instantly. That is enough to tell whether an off-the-shelf app fits or a custom system is worth it. We build operator software like PG Platform as part of our web application and mobile app work; message us on WhatsApp with your bed count and we will tell you honestly which route fits.
