"How much does custom software cost?" gets the least useful answers on the internet: hourly rates multiplied by guesses. A business owner needs a different number: what it costs to replace the spreadsheets, WhatsApp groups and SaaS subscriptions that currently run the business, and when that spend pays for itself. Here are our published ranges for custom software and CRMs, in rupees for India and in dirhams for the UAE, with the build-versus-subscribe maths.
The Short Answer
Custom business software for an SME costs ₹60,000–₹5,00,000 in India and AED 5,000–35,000 in the UAE. The range is set mostly by how many modules you need and how many kinds of users touch the system.
| What you are building | India (₹) | UAE (AED) |
|---|---|---|
| CRM: lead capture, pipeline and follow-ups | ₹60,000 – ₹1,20,000 | AED 5,000 – 9,000 |
| Full CRM: quotes, tasks, reports and integrations | ₹1,20,000 – ₹2,50,000 | AED 9,000 – 18,000 |
| Single-module tool (billing alone, inventory alone) | ₹75,000 – ₹1,50,000 | AED 6,000 – 11,000 |
| Integrated system (billing + inventory + quotes + roles) | ₹1,50,000 – ₹5,00,000 | AED 11,000 – 35,000 |
| ERP-scale system (manufacturing, multi-branch, many integrations) | Priced only after a paid discovery phase | |
These are fixed prices against a written specification, not estimates that grow. The AED prices are set for the UAE market rather than converted from rupees.
Build or Subscribe? The Maths
Most businesses compare custom software with SaaS on the first-month price, and SaaS always wins that comparison. Compare the five-year cost instead:
| SaaS subscription | Custom build | |
|---|---|---|
| Up-front | Nothing | ₹1,50,000 (one time) |
| Monthly | ₹4,000, rising with each user you add | Hosting and support only |
| After 3 years | ₹1,44,000 spent, and the bill continues | Paid off |
| Fits your process? | You change your process to fit the tool | The tool is built around your process |
That ₹1.5 lakh build replacing ₹4,000 a month of per-user subscriptions pays for itself in about three years, and then costs nothing but hosting. The maths tilts further towards custom as your team grows, because per-user pricing grows with it.
When SaaS is the right answer: your process is standard (basic accounting, simple ticketing), you have a handful of users, and you need it working this week. Custom wins when your process is your advantage, when you are paying for many users, or when you are stitching three tools together with spreadsheets.
What Moves the Price
Modules
Billing, inventory, quotations, jobs, payroll: each is a product in itself
User roles
Who sees what: owner, manager, staff, partner and customer views
Reports
The questions you need answered every Monday morning
Data migration and integrations
Moving years of spreadsheets in, and exports to Tally, SMS and WhatsApp
Data migration is the one buyers forget. Cleaning and importing five years of customer and stock spreadsheets is real work, and it is better priced in at the start than discovered in week six.
CRM Development Cost
A CRM is the most common first custom system we build, because it is where marketing money either turns into revenue or disappears. A focused CRM at ₹60,000–₹1,20,000 (AED 5,000–9,000) captures leads from your website, ads and WhatsApp, records the source of every enquiry, and runs follow-up reminders so no lead goes cold. A full CRM at ₹1,20,000–₹2,50,000 (AED 9,000–18,000) adds quotations, tasks, team targets and reports.
The payoff is attribution: knowing which campaign produced which customer. Our own published catering case study can name its numbers down to individual confirmed orders precisely because every lead was tagged with its source in a lead system we built. More on that in our CRM development service.
For UAE Businesses
The same tiers apply in the UAE at the AED prices above. Three things to settle up front:
- Arabic support: if staff or customers will use the system in Arabic, right-to-left layout should be in the first specification, not added later.
- Where the data is hosted, and in whose name the hosting account sits. It should be yours.
- VAT on imported services: you receive a clean AED invoice from our Indian entity with no Indian GST added; ask your accountant how reverse-charge VAT applies, which for most SMEs is a line in the normal VAT return.
Delivery runs remotely across the 1.5-hour time difference between Chennai and Dubai; our UAE page explains how we work with Gulf clients.
The Costs After Launch
Custom software has running costs too, they are just smaller and more predictable than subscriptions: hosting (ordinary PHP and MySQL hosting is enough for most SME systems), backups, and a support arrangement for fixes and small changes. Get those in writing before the build starts, and make sure the source code and the database are handed over to you.
How to Get a Fixed Price
Bring three things to the first conversation: the spreadsheets or tools you want to replace, the people who will use the system and what each needs to do, and the three reports you wish you had today. From that we write a specification, and the price is fixed against it.
We build this kind of software for our own business first: the invoice generator, quotation builder, credential vault and campaign platform that run our agency are systems we wrote ourselves. Published starting points are on our custom software and CRM pages. Message us on WhatsApp with the spreadsheet that causes you the most pain, and we will tell you what replacing it would cost.
