Google Business Profile Optimization Checklist

V

· 7 min read

When someone searches for "caterer near me" or "website company in Chennai", Google usually shows a map with three businesses before any ordinary result. Those three come from Google Business Profile. This checklist covers every part of a profile that affects whether you appear there and whether people call you when you do, in the order we work through it for clients and for our own listing.

Why Your Profile Matters More Than Your Website

For local searches, the map results sit above the organic results, and on a phone they can fill the whole first screen. When we analysed searches such as "website development company chennai" and "seo services dubai", the map pack appeared above the ordinary results in every search we checked. A well-kept profile is free, it is often the first thing a customer sees, and it sends calls, WhatsApp messages and direction requests without the customer ever opening your website.

Relevance

How well your categories, services and description match the search

Distance

How close you are to the searcher, which nobody can optimise

Prominence

Reviews, links, mentions and how active and complete the profile is

Google describes local ranking with these three factors. Distance is fixed, so everything below works on relevance and prominence.

Before You Start: Claim and Verify

  • Search for your business first. If a listing already exists, claim it rather than creating a duplicate; duplicates split your reviews and can get both listings suspended.
  • Decide storefront or service area. If customers visit you, show your address. If you visit customers or work remotely, set up a service-area business: the address stays hidden and you list the areas you serve instead. We run our own profile this way, because we meet Chennai clients at their offices and UAE clients on video.
  • Expect verification to take effort. Google often asks for a short video showing the business, its signage or equipment and proof you manage it. Plan it properly: a rejected video delays everything below.

The Optimisation Checklist

1. Business name: exactly your real name

Use the name on your signboard, invoices and registration. Adding keywords, such as "Annapoorna Caterers Best Wedding Catering Bangalore", breaks Google's guidelines and is a common reason for suspension. Relevance comes from the fields below, not from the name.

2. Categories: the most important choice

Your primary category tells Google what you are. Choose the one that matches your main money-making service, then add secondary categories for other genuine services. The category list is fixed and does not cover everything: when we set up our own listing there was no "mobile app developer" category, so we chose the closest match and described app development in the services section.

3. Address, service areas and hours

Keep the address, phone number and hours identical to your website and every directory listing. Add special hours for festivals and holidays; a customer who drives to a closed shop leaves a review about it. For a service-area business, list the cities or districts you genuinely serve rather than every city in the state.

4. Phone, website link and tracking

Use a number your team actually answers. Link to the most relevant page of your website, not always the homepage, and add tracking parameters to that link (for example ?utm_source=google&utm_medium=organic&utm_campaign=gbp) so Google Analytics shows how many visits and enquiries the profile produces.

5. Description: 750 characters that answer the obvious questions

Say what you do, for whom, where, and what makes you different, in plain language. Include the words customers search with, naturally, once. Google does not allow links, promotional offers or excessive capital letters in the description.

6. Services and products, with prices where you can

List every service separately with a short description, and add price ranges where you have them. This is where you cover services your categories cannot, and it gives Google more text to match against searches. Product listings work the same way for shops.

7. Photos that show the real business

  • A clear logo and a cover photo that says what you do at a glance.
  • Real photos of your work, premises, team and finished projects. Stock images add nothing.
  • New photos regularly: an active profile looks like an active business.

8. Reviews: the lever you control most

Reviews influence both ranking and whether people choose you. Ask every satisfied customer, at the moment they are happiest, and send them the direct review link from your profile so it takes them seconds.

What not to do. Google's policies prohibit paying or rewarding customers for reviews, writing reviews for yourself, and asking only happy customers while steering unhappy ones elsewhere. Fake reviews can be removed in bulk and the profile restricted. Slow and genuine beats fast and fake.

Reply to every review, good and bad, within a few days. A calm, specific reply to a complaint often does more for the next customer than five five-star reviews.

9. Updates and offers

Posts let you share offers, events and news directly on your profile. They are not a major ranking factor, but they show customers that the business is active and they give you a place to announce seasonal offers.

10. Put your answers where Google can read them

Google has been retiring parts of the profile: business chat ended in July 2024, and the questions-and-answers API was shut down in November 2025. Do not rely on features that may disappear. Put the answers customers need into your description, your services list and an FAQ on your website, where they also help your search rankings.

Make Your Website Agree With Your Profile

Google trusts a profile more when your website confirms it. Three things matter most:

  1. Consistent details. The same business name, phone number and address on your website, your profile and directory listings.
  2. A page for each service and area that matters. A single "Services" page cannot rank for every service in every city. Specific pages can: Veera Artistry, a Chennai makeup artist, reached customers in nine Tamil Nadu cities with service-and-city pages and his Google Business Profile, without spending on ads.
  3. Local business structured data on the website, describing the same name, address, phone and service area.

A 20-Minute Weekly Routine

  • Reply to new reviews and ask this week's happy customers for one.
  • Add two or three new photos of recent work.
  • Check that hours and phone number are still correct, especially before holidays.
  • Look at the profile's performance report: calls, website clicks and direction requests.

Frequently Asked Questions

Does Google Business Profile cost anything?

No. Creating and managing a profile is free. You only pay if you choose to advertise, for example with local search ads.

Can I create a profile without a shop or office address?

Yes. Set it up as a service-area business: your address stays hidden and you list the areas you serve. You still need a real address for verification; virtual offices and co-working addresses you do not actually staff are against the guidelines.

How long does it take to appear in the map results?

A complete, verified profile can start appearing for nearby searches within weeks. Competitive searches take longer and depend on reviews, your website and how far the searcher is from you.

How many reviews do I need?

There is no fixed number. Compare yourself with the three businesses currently in the map pack for your main search: aim to match their count and beat their recency, with a steady flow of genuine reviews every month.
